We have 5 distributed offices, with relatively small storage needs (but growing rapidly) . We mainly communicate via emails by exchanging documents (templates, invoices, etc,..). We currently use Mozy.com for automatic backups. Should we add any additional level of security to make sure that our documents are more securely protected when going out to the internet ? Should we add password protections for example ? Are there any good software out there than can combine backup and security at the same time ?

There are a variety of solutions you can look at using here to the insecure public internet. At its most basic encrypting files with passwords that are then not transmitted with the email itself! Through to Software as a service security that will enable you to do all of this without installing anything on your network. For example check out www.webroot.co.uk who offer email filtering and include TLS encryption to encrypt connections and have optional Policy based encryption using Zix to encrypt documents based on policies you set, For example set that any email going externally containing a credit card number or a certain phrase or that has for example an outlook permission set to confidential and their service will automatically encrypt the email for you allowing only the true receipient to open it whether also using the service or simply a user for example on a hotmail address at the other end.
