How to choose a project collaboration software ?

We are looking to choose a collaboration platform for our internal sales and support team. The goal is to move away from relying mostly on emails as information gets quickly buried in inboxes and folders. We have seen that there are plenty of solutions available in the market but it is hard to actually differentiate each one of them without spending a lot of time trying them out. Could someone highlight briefly what are the must have features and major trends that we should be looking for ? Any tips on migrating from an email oriented culture to a more live collaboration environment is welcome as well !

Try a good collaboration program which also give you projectmanagement capability (like assigning tasks and status reporting). One which I recommendis http://www.binfire.com

Being a project manager myself, I understand the importance of a good project management software. Check out Microsoft Project 2010. It's built on SharePoint 2010 and has a lot of tools to help manage your team and project.

I have been in IT consulting for over 10 years, and to be honest with you there is no perfect or best software in a specific domain (including project management and collaboration).

To chose a software, you need first to describe your process(es). Once this done the second step is to pick 3-5 products that match with your needs (cover 80% of your processes). The last step is to evaluate the short listed products according to a couple of factors that are important to your organization (functional, price, and IT).

Yes this is a bit time consuming but it will give the picked software more chances to be accepted and used.

Good luck!

Ps: My personal favorite product is ProjeLead, which is a project management and collaboration software in open source.

Customer service is in my opinion very important as well as a simple to use software. We use Dooster which I thought was a live collaboration solution anyway and it has vastly improved communication and time management but the customer service at Dooster has given added value to such a level that I would now rate good customer service as an essential.

I agree with @david1975 - the most important part is to think about your processes and your 'must-haves', 'like-to-have' and 'would-be-nice-to-have'.
Sometimes it needs a bit of nutting out or testing a few different tools to give you some idea of where to steer.

I'm with ProWorkflow and this is a nice robust tool but doesn't always suit everyone - if you'd like to send me some details I could quickly tell you if it's a good fit?

Take a look at ADIOS Software Cloud. Here's the description from their site:
ADIOS is a software cloud solution with a bunch of well-designed products for various segments of business. Does not matter which type of business you run, ADIOS can help you. You can install any available software in your ADIOS account or we can create a software tailored exactly for your business.
They have products for:
- Project Management & invoicing - Manitoo
- CRM - SalesHero
- Email Marketing - Courier
- or they can build an on-demand solution for you to cover your specific needs (they get out from the fact that completely universal solution is not doable - each company has some special processes)
Another important note - ADIOS is currently completely free.

We've been using TeamLab for quite a while already. The platform has some certain advantages as it includes project management, document management as well as business collaboration. Most importantly it keeps developing - recently they have introduced a new Calendar feature.

We are using a good online project collaboration tool called binfire. It has most of the features needed by a remote team working on small or large projects

You'll still have to sort through your information but less often because info and emails will go straight back to the topic file that it is pertinent to. We use Dooster and it's definitely an improvement on the system (Outlook) that we had before and I agree that the customer service does rate well.
